Introduction

The Human Resources Data Warehouse is an ad-hoc reporting tool. Its purpose is to provide University Managers and Human Resources Facilitators with easy and rapid access to both current and historical human resources and funding source information from various University business systems including the EPAWeb Personnel Action System, SPA HRIS System (InPower), Payroll System, and Financial Reporting System (FRS). The Human Resources Data Warehouse includes data on Faculty and Staff for the most current pay cycle and from annual “snapshots” for previous UNC-Chapel Hill fiscal, calendar and Federal fiscal year-ends.

There are four reporting formats currently available in the Human Resources Data Warehouse. Reports can be generated using any of the following formats: Counts, Detail, Funding Sources, and Rank Reports. The report option you choose will be largely depend upon how you will use the information.

Confidentiality Notice

With the exception of a small number of data fields defined as public information (see http://hr.unc.edu/departments/records/personnelfiles#sub3), the data contained in the Human Resources Data Warehouse is confidential and protected by State law. Users of the Human Resources Data Warehouse are cautioned to carefully review the University’s policy on personnel records so that they clearly understand the confidentiality of the information contained in the HR Data Warehouse and the University’s policies in general on personnel records. A copy of this policy is available at: http://hr.unc.edu/departments/records/personnelfiles.

For the purposes of this policy, the information contained in the Human Resources Data Warehouse should be considered an extension of the employee’s departmental personnel file and afforded equal protection against unauthorized access or use. Please note that under State law, to allow an unauthorized person access to confidential information in a personnel file, or to disclose information to such a person, is a misdemeanor. Any unauthorized person who accesses, examines, copies, or removes confidential information from a personnel file is guilty of a misdemeanor and, upon conviction, shall be fined in the discretion of the court not to exceed $500. Any suspected unauthorized disclosure or dissemination of information contained in the Human Resources Data Warehouse should be immediately reported to the Director, HRIS Support.

Security

If you have access to either EPAWeb or the SPA HRIS (InPower), you will automatically have access to the Human Resources Data Warehouse. Your access to faculty/staff data in the HR Data Warehouse is identical to your defined access for either of these systems. No special registration or set-up is required on your part. If you can access a single department or entire School in either system, you would have the same access to this data in the HR Data Warehouse.

Getting Access

If you are a University manager and do not presently use the EPAWeb or the SPA HRIS System (InPower), complete and submit the System Access Form to the HRIS Support Department. Your request will be reviewed and you will be notified when your access to the HR Data Warehouse is established.

Access Restrictions

The Human Resources Data Warehouse is only available to employees approved for access. In addition, application use is restricted to the UNC-Chapel Hill campus network. The HR Data Warehouse cannot be accessed from outside the UNC-Chapel Hill campus network or on-campus from a wireless connection. The system will block access when logging in, so do not report these as application or network problems unless you are an approved user or at an approved location.

System Application Requirements

Access to this application requires Internet Explorer Version 6.0 or higher. Use of other browsers, including Netscape, may produce unpredictable results and is not supported. The latest version of Adobe Acrobat is also recommended for producing a report in PDF output format. Download the latest version of Adobe by pointing your web browser to http://adobe.com/products/acrobat/readstep2.html.

Accessing the Human Resources Data Warehouse

A link to the Human Resources Data Warehouse is provided from the Human Resources web site by pointing your web browser to:

https://s4.its.unc.edu/hr

When you select the link for the HR Data Warehouse, you will see the following login screen:

Enter your UNC-CH Onyen and Onyen password and select the button to proceed to the HR Data Warehouse main menu, which appears below:

General Links and Standard Buttons

All of the Human Resources Data Warehouse report screens have several standard links and buttons to perform key functions. The links at the top right corner of each screen appear as follows:

The link will open a separate window and display the Human Resources Data Warehouse Users Guide. The User Guide contains help text on each of the components of the HR Data Warehouse. It is recommended that you consult this information if you have questions, prior to contacting the HRIS Help Desk for assistance.

The link will allow you to log out and close the HR Data Warehouse. When selected, the following box will be displayed:

The link will open a separate window to allow you to access the ITS Remedy Help Request System. Remedy is used to request the assistance of the HRIS Support Team that is responsible for supporting the Human Resources Data Warehouse. Once you login to the Remedy System using your UNC-CH Onyen and Onyen password, complete the Online Help Request form. Select Human Resources Data Warehouse Support for the type of help needed and enter comments in the problem description area.

The HR Data Warehouse also has three standard buttons that are displayed at the very top and bottom of each reporting option screen and appear as follows:

The button is used to run your report once you specify all of the different parameters for the various sections of the reporting screen. Once selected, your reporting request is submitted to the Data Warehouse and your data will then be returned back to your screen in a separate browser window for review and printing.

Each time you select the button, a new browser window will open with your report output. If you run three reports, one after the other, unless you close the resulting individual browser windows, each report will remain available in a separate window. The selected reporting screen option will continue to remain active in its own separate window so that you can change your selections and re-run your report as many times as desired and allows you to compare the different outputs to see the effects of changing the report selection criteria.

The button is used to clear out all of the selection criteria on the reporting screen to the defaults just like they would appear when first entering the screen. Any selection you may have entered will be cleared. This is useful if you have changed your mind on what criteria you would like to select and wish to start over again without manually clearing out each of your selections on the screen.

The button is used to return to the main HR Data Warehouse menu from any of the individual reporting screens if you want to access the other Data Warehouse options.

Human Resources Data Warehouse Reporting Options

The Human Resources Data Warehouse generates reports in four formats: Counts, Detail, Funding Sources, and Rank. A Counts Report displays numerical counts and totals for specific employee-related fields selected by the user and permits up to four separate data fields to be reported on, up to 2 fields for columns and/or 2 fields for rows. One newly added feature to the Counts Report is the ability to display the actual underlying detail records of the summary counts and totals. The below output from a Counts Report is based on three separate data fields from the HR Data Warehouse: race, gender, and fiscal year. Gender was selected as a row and fiscal year and race as columns.

The second report format available is the Detail Report. Similar to the Counts Report, the detail format allows the user to select specific data fields of interest and displays the detail data for the selected fields. The Detail Report is useful for more in-depth analysis.

An example of output from a Detail Report that includes employee type (EPA/SPA), fiscal year , first name, gender and race would appear as follows:

The third report option is the Funding Sources Report. The Funding Sources format allows the user to report data on the current funding sources and their associated Financial Records System (FRS) account attributes for individual faculty and staff.

The fourth report option is Rank Report. The Rank Report format allows the user to report detailed data on all of the current ranks of an EPA employee.

These examples illustrate only a small fraction of the various data fields that can be selected using the Human Resources Data Warehouse.

HR Data Warehouse Data Fields and Descriptions

The HR Data Fields and Descriptions link will open a separate window to the HR Data Fields and Descriptions document. This document contains every employee data field available in the HR Data Warehouse, along with a description and the associated values for each field. We have included the appropriate selection criteria, calculation or definition for any metric or derived field. Currently, there are more than 120 data fields available for your reporting needs. It is recommended that you consult this information if you have questions, prior to contacting the HRIS Help Desk for assistance.

User Support and Assistance

User support for the Human Resources Data Warehouse is provided by the HRIS Help Desk. For problems accessing or using this application, contact the HRIS Help Desk by calling 962-HELP and indicating that you need support for the Human Resources Data Warehouse, or by submitting a web-based Remedy ticket by pointing your browser to https://www.unc.edu/ar-bin/websub/index.pl.
