Personnel Action Processing - PD-7 VS. EPAWeb-What action should I use now?

Field Name

Explanation

Appointment Data Change

This action is used to update or correct the following appointment data for any EPA classified employee: Working title
            Base Dept.
            Check Dept.
            Visiting status
This action is not used to update or correct Rank Code information. Please use the Rank Change action to accomplish this type of change.

Re-Appointment

This action is used for both Faculty and Non-Faculty that are being rehired or reinstated. The individual must have been on the University payroll during the current calendar year with no gap in service to use this action code. If there is a break in service, a New Employment action must be completed to put that person back on payroll.  A reappointment generally indicates a new contract letter will be generated.  Examples of reappointment actions would be reappoint as an Assistant Professor after initial probationary appointment, EPA Non Faculty or Fixed term Faculty appointments when the previous appointment end date is approaching.

This action is not used for Students. Please use the Student Re-appointment action to accomplish a rehire or reinstatement for this type of employee. The rule of being on payroll during the current calendar year with no break in service also applies to the student employees.

Secondary Appointments

This action is used to add or remove the following types of secondary appointments*:
Administrative
Faculty
Non-Faculty
Adjunct
Joint
* The appointment can be salaried or non-salaried

** May also need to prepare an appointment data change if the working title is affected by the addition or removal of a secondary appointment.

Student Re-appointment

This action is used for Students that are being rehired or reinstated. The individual must have been on the University payroll during the current calendar year with no gap in service to use this action code. If there is a break in service, a New Employment action must be completed to put that person back on payroll.

Demographic Change

This action is used to update or correct the following demographic data about the person:
            Name
            DOB (date of birth)
            Citizenship
            Gender
            Alien Registration #
            Visa Contingency Date
            Transfer from other State Agency Indicator


Please use the SSN Change action to update or correct the social security number.

In order for the PID record to be correct for this employee, you must contact the PID office to make them aware of this change.  The demographic change that was just processed will only update EPAWeb, Payroll and the campus directory.

Department Transfer

This action is used to move person and position to another department with no change in salary.
If the salary is also changing, please use the Job Change action to accomplish this change.

End of Employment

This action is used when a person is separating from UNC-Chapel Hill employment. Reasons for separation include:
Deceased
            End of Appointment
            Not Reappointed
            Resign to accept other UNC-CH employment
            Resign-did not return
            Retired
            Retired-Emeritus
            Retired-Phased
            Retired-Return Part Time
            Termination due to Funding Contingency
            Other
This action is also where the leave balances at the time of separation are recorded for all types of EPA employees that earn leave.

Extension

This action is to be used in the following manner:
For EPA-Non Faculty employees to extend their current appointment for a time frame of less than one year.
OR
For Tenure Track Faculty employees to extend the tenure clock.
This action is not to be used for Student employees. Any extensions of their appointments are accomplished by processing the Student Re-appointment action.

Job Change

This action is used to move a person from one position to another position where the rank data, appointment data, salary and the salary source distribution may be changing. This does not include Faculty promotions. Below are some examples of activity that would be processed under this action type:
            Faculty or Fixed Term Faculty to EPA Non-Faculty
            EPA Non-Faculty to Fixed Term Faculty
            Student to EPA Position
            Student to another type of Student position

            Add or remove Distinguished Professorships

Leave

This action is used to place a person on leave of absence which includes the following types of leave:
            Department Specific
            Military Leave
            Off Campus Assignments
            Other
            Personal
            Professional/Educational

Return From Leave

This action is used to reinstate, modify or extend the leave of an individual currently on leave of absence.

Lump Sum Payment-Appointing Department

This action is used to pay a lump sum one time payment to an EPA individual who is already on the payroll for the following activity that is performed within the base department of the employee:
            Additional Duties
            Administrative Duties
            Clinical Faculty Pay
            Other
            Overload
            Summer Salary
            Summer School

Lump Sum Payment-External Department

Same as above, but duties and funding are done for department other than base department.

New Employment

This action is used to put a person on the payroll that has not worked here previously or that has worked on campus in a previous position and is reinstating with a break in the service period.  This action should also be used in the following circumstances: 

  1. Individual is changing from biweekly payroll to monthly payroll or vice versa.
  2. Individual is changing from non salaried to salaried or vice versa.

Promotion

This action is used only for Faculty members that are moving up in rank.

Rank Correction

This action is used for corrections to the rank titles, modifier codes,
rank dates or effective dates for a specific rank.
OR
Change to Student rank as long as object code is not affected.

If rank change affects the object code for the student, the job change action must be used to accomplish the change.

If the tenure status is affected by this change, user should also do appointment data change to correct tenure status

Salary Distribution

This action is used to update, modify or delete the following data:
            Salary Distribution
            Salary Sources
            Source Position numbers
            Source End dates

SSN Change

This action is used to correct or update an individual’s social security number.

In order for the PID record to be correct for this employee, you must contact the PID office to make them aware of this change.  The SSN change that was just processed will only update EPAWeb, Payroll and the campus directory.

Salary FTE Change

This action is used to increase or decrease an individual’s base rate, FTE and sources to accommodate the change in salary.
