Overview and Selecting from the Position Management Menu
There may be circumstances where a person within the department who supervises multiple EPA non-faculty positions departs their supervisory position for whatever reason. In these instances, a "Change Position Supervisor" function is available which allows the department to easily and quickly update all affected positions with any change in supervisor in a single step. This function should ONLY be used when the individual in the supervisory position changes, not the actual position reporting relationship itself. For example, if there are four EPA non-faculty positions reporting to Jim Jones, Director of Project Management in Faciliites and Jim leaves the University and is replaced in that position by Nancy Smith, then the Change Position Supervisor function may be used so that each of the positions now reports to Nancy. However, in a different scenario, a reorganization in the department results in these same four positions reporting instead to the Director of Engineering INSTEAD of the current Director of Project Management position. In this case, the "Change Position Supervisor" function should NOT be used. Instead, individual Modify Position actions should be submitted so a determination can be made if the change in reporting relationship impacts the EPA non-faculty status of the affected positions.
To use the Change Position Supervisor function, navigate your mouse to the "Position Mgmt" menu on the EPAWeb menu bar and then select the "Change Positon Supervisor" option. When it is selected with your mouse, this option will turn an orange color.
Entering the Current Supervisor of the Positions to be Changed
The first step in this process is to identify the individual to whom the positions CURRENTLY report as reflected in the EPAWeb System position record. This is accomplished by entering their UNC Personal ID (PID) number. If you don't know this number, you can obtain it by looking up this individual using the employee search function in EPAWeb (for an EPA employee) or the SPA HRIS System (for SPA employees). Once the PID is entered, use your mouse to click the GO button.
Reviewing a List of Positions to Be Modified
After succesfully entered the valid PID of the affected position's current (and soon to be former) supervisor, EPAWeb lists all of the active EPA non-faculty positions (vacant and filled) reporting to this individual as known to the EPAWeb Position Management System. You may click the Position # or PIDs (when present) of any of these reporting positions to review these positions in more detail.
There is also a data entry box labeled "Change reporting to PID/Name". In this data entry field, you should enter the PID of the individual to whom all of the positions you identify will now report. This represents the NEW supervisor of these positions once this action is completed. If you don't know the new supervisor's PID, you can click the magnifying glass icon to the immediate right of this field to do a look-up against the master employee file. This look-up can find both SPA and EPA employees.
Selecting Which Positions Will be Updated
EPAWeb displays all of the positions its knows to be reporting to the soon to be former supervisor you have identified. You have the opportunity to identify any or all of these subordinate positions to be updated with the new supervisory reporting relationship. The column marked "Change" has a checkbox in the column heading area (shaded light blue) and then checkboxes for each position reporting to the soon to be former supervisor. If you want to change all of these displayed positions to the newly identified supervisor, click the checkbox in the column heading (light blue) area. This will select the checkboxes of all of the displayed subordinate positions at one time without you having to individually check each box. Alternatively, you can select positions one by one using the individual checkboxes for each subordinate position. This is helpful if you need to change the supervisor for only some but not all of the displayed positions.
Submitting Your Changes
Once you are satisfied with all of your entries, you would click the Submit button to process this request. If you change your mind and do not wish to process this request, simply hit the Cancel button and you are returned to the previous screen prior to entering this function.
Confirmation Message
If you have submitted your request, EPAWeb then immediatelty changes the Supervisor PID/Name of all of the positions you had requested. If your request is successfully processed, EPAWeb displays a message to this effect and identifies the number of positions that were updated with the new supervisor.
Please note that unlike the Create Position and Modify Position actions, changes made with this function do not route for further approval and take effect immediately in EPAWeb Position Management. These updates are also not reflected in the Position Management action history.
