Accessing the View Applicants Screen

The View Applicants screen can be accessed by selecting the corresponding requisition from the SPA RecruitmentWeb Home Page or Search Requisitions screens.  For more information on how to search for a requisition, click here.

This screen shows applications specific to the requisition and will not show applications specific to any other requisition.  If the same applicant appears under two different requisitions, that applicant has applied for both requisitions and must be considered separately for each requisition.

Screen Sections

The View Applicants screen contains various distinct sections:

System Header

Selected Requisition Information

Please note users can access the job posting for this specific requisition by clicking on the Position ID number above.

Key Contact and Date Information

Applications Header

The function of these headers is as follows:

This column allows users to print applications. By checking the box in the header, the user is indicating that all referred applications should be printed. To print individual applications, the user should check the box beside a particular applicant name.

This column provides the date each application was referred to the department by HR Services.

This column provides the name of each applicant (Last name, First Name) referred for consideration. The name serves as the link to the applicant’s application.

This column provides the date each applicant applied for consideration.

This column Indicates whether the applicant is an Internal or External candidate. Internal candidates are currently permanent SPA employees at UNC-Chapel Hill. External candidates are those who do not currently work as permanent SPA employees for the University.

This column indicates whether or not the applicant is to receive any type of priority, including Layoff priority, during the hiring process.

This column indicates whether an addendum has been received from the applicant.  If one or two addendums are forwarded to the hiring department, a “1” or “1,2” will appear for that applicant. If the applicant’s application was previously marked as reviewed or printed, the “Review/Print by Dept” field will be reset to “No” until addendum is reviewed.  Applicants may submit up to two addendums.

This column Indicates whether the department has officially reviewed (or printed) each referred application. This column must say “Yes” for each applicant before the Selection Document can be submitted for approval.

The user may sort on any of these fields by clicking on the arrow next to the field title.

Addendum Process

Addendums submitted by an applicant will be displayed in the View Applicants Screen under the “Addendum” column.  The first addendum an applicant submits will be displayed with the number “1”, and the second will be displayed with the number “2” (see Tim Carry below).  Applicants may submit up to two addendums, both of which must be submitted before 5:00 pm on the closing date of the position, unless that applicant is marked as “Selected” on the Selection Document. Selected candidates should not be identified before the closing date has passed and all applications received have been reviewed by HR Services. To view an addendum, users can click on the corresponding number.  For further rules regarding routing of submitted addendums, see below.

Further Rules for Addendum Process

Addendums submitted by applicants whose applications were previously referred by HR Services will be immediately viewable by both HR Services and any departmental representatives with access to the position in question.  If the applicant was previously marked as reviewed or printed (i.e. has a “Yes” in the Review/Print by Dept field), this status will reset back to “No” until the addendum is marked as reviewed or printed. For more information on reviewing applications, click here.

Users will not be able to see addendums submitted by applicants who have not yet been “Referred” for the position in question by HR Services.
